Planning a new home, duplex, townhouse or residential development often begins with a conversation.

For many clients, the first meeting with an architect can feel both exciting and uncertain. You may have collected inspiration, considered different possibilities, or spent time thinking about how the project should look and feel. At the same time, you may not know what information is useful, what questions to ask, or how clearly defined the project needs to be at this early stage.

The good news is that you do not need to arrive with all the answers.

The purpose of an initial consultation is to establish a clearer understanding of your site, priorities, budget and aspirations. With some thoughtful preparation, the conversation can become more focused and productive, allowing your architect to identify the opportunities, constraints and most appropriate next steps for your project.

1. Define the Purpose of Your Project

Before meeting an architect, consider what you would like the project to achieve.

Are you planning a long-term family home, developing a duplex as an investment, renovating an existing property or exploring the development potential of a site?

The purpose of the project will influence many later decisions, including the spatial layout, approval pathway, material selections, construction budget and overall design direction.

You do not need a fully developed brief, but it is helpful to think about questions such as:

Who will live in or use the building?

Is the property intended for personal use, investment or future sale?

What is not working in the existing property?

How might your needs change over the next five to ten years?

What would make the completed project successful for you?

A clear understanding of the project’s purpose gives the architect a stronger foundation from which to begin.

2. Gather the Available Site Information

The site is one of the most important influences on an architectural project. Its location, orientation, dimensions, surrounding context and planning controls all shape what may be possible.

If available, bring the following information to your first meeting:

The property address

A survey plan

Real estate documents or site photographs

Information about easements, covenants or rights of way

Previous approvals or correspondence with council

Do not worry if you do not have all these documents. An architect can advise which information is required and assist in identifying the relevant planning and site constraints.

Even a property address can provide a useful starting point for an initial discussion.

3. Consider a Realistic Budget Range

Budget is an essential part of the design conversation.

You are not expected to know the exact construction cost at the first meeting. However, providing an honest and realistic budget range helps the architect understand the appropriate scale, complexity and design strategy for the project.

Discussing the budget early does not limit creativity. Instead, it allows design decisions to be made with greater clarity and helps align ambition with practical delivery.

4. Think About Your Preferred Timeline

If there is a particular deadline influencing the project, let your architect know at the beginning.

This might include a planned move, the expiry of a lease, a property settlement, financing requirements, family circumstances or a target construction date.

Architectural projects generally move through several stages, which may include feasibility assessment, concept design, planning approval, detailed documentation, consultant coordination, tendering and construction.

The time required will vary depending on the site, project type, approval pathway and level of complexity. Discussing your preferred timeline early allows the architect to explain what may be achievable and identify any important time constraints.

5. Prepare a Preliminary List of Spaces

A simple list of the rooms and functions you require can be very helpful.

For a residential project, this might include:

Number of bedrooms and bathrooms

Living, dining and kitchen requirements

Home office or study areas

Car parking and storage

Outdoor living spaces

A swimming pool or landscaped garden

Guest or multigenerational accommodation

Accessibility or future-living considerations

Try to think beyond the number of rooms and consider how you would like to use them.

For example, do you prefer an open-plan living environment or greater separation between spaces? Is natural light a priority? Do you entertain frequently? Do you require privacy between different generations of the family?

Understanding everyday routines helps an architect develop spaces that support the way you live, rather than simply arranging rooms on a plan.

6. Bring Reference Images

Reference images can be a useful way to communicate your preferences, particularly when architectural ideas are difficult to describe in words.

These may come from magazines, previous projects, Pinterest, Instagram or buildings you have visited.

Rather than focusing only on the overall appearance, consider what specifically interests you about each image.

7. Identify Your Priorities

Most projects involve balancing a number of competing considerations, including design quality, floor area, budget, planning requirements, sustainability and construction time.

Before the meeting, consider which outcomes matter most to you.

8. Remember That You Do Not Need Everything Resolved

One of the most important things to understand is that you do not need to arrive with a completed design.

You may have a clear vision, a collection of ideas or simply a site and a question about what could be possible. All are valid starting points.

The architect’s role is to listen, investigate and help translate your objectives into a clear and buildable direction. This includes identifying planning constraints, testing design opportunities and guiding you through the decisions required at each stage.

A good first meeting is not about having every answer. It is about asking the right questions and establishing a clear starting point.

Begin with a Conversation

Thoughtful preparation can make your first meeting more productive, but the process does not need to feel overwhelming.

Bring the information you have, be open about your priorities and budget, and be ready to discuss how you would like the project to support your future needs.

Whether you are considering a new home, duplex, townhouse or larger residential development, an early conversation with an architect can help you better understand the potential of your site and the pathway ahead.

Home Office

Why the earliest conversations are often the most important part of a residential project.

Design is often associated with drawings, floor plans and beautiful finished homes. In reality, however, a successful project begins long before the first sketch is produced.

Every site, every family and every project has its own set of opportunities and considerations. Taking the time to understand these from the outset creates a stronger foundation for the decisions that follow. It allows the design process to respond not only to the site itself, but also to the way people want to live, both now and into the future.

Starting with the right conversations also helps establish a clear direction. Discussing priorities, expectations and long-term goals early enables the project team to develop solutions that are both practical and thoughtful, reducing uncertainty as the project progresses.

At BJ Architects, we believe architecture is more than creating visually appealing buildings. It is about understanding context, listening carefully to our clients and developing designs that balance function, character and everyday living. Every project begins with understanding before design.

No two residential projects are the same, and there is rarely a single solution that fits every site or every client. Our role is to guide the process, helping clients make informed decisions and transforming ideas into homes that are carefully considered and built to last.

Whether you are planning a new home, a duplex or a larger residential development, investing time in the early stages can make a meaningful difference to the outcome. Good design is rarely the result of one decision – it is the result of many considered decisions made from the very beginning.

At BJ Architects, we value a collaborative and well-structured design process. By establishing a clear vision early, we create homes that not only respond to their surroundings but also support the way our clients live for years to come.

This time, we are pleased to present a contemporary residence located in North Willoughby, successfully approved through the CDC pathway.

The project is distinguished by its flowing curved design language. From the exterior, curved balconies, rounded corners, and the use of natural stone create a modern architectural expression that feels both refined and inviting. These elements soften the overall form while adding visual depth and character.

The interior is thoughtfully designed around family living. A double-height living area, combined with expansive glazing, allows abundant natural light to fill the space and enhances the sense of openness. The seamless connection between the living, dining, and kitchen areas encourages natural interaction and supports everyday family life.

Materiality plays a key role in the design. Natural stone, timber finishes, and metal accents are carefully combined to create a sophisticated and timeless interior. A monolithic green natural stone island serves as the focal point of the kitchen and communal living space. Curved walls and carefully integrated lighting details echo the architectural language of the exterior, ensuring a cohesive and harmonious design throughout.

At the rear of the home, large floor-to-ceiling glass openings connect the interior with the outdoor living areas. The terrace, swimming pool, and open-plan living spaces work together to create a continuous experience, allowing indoor and outdoor environments to blend naturally.

For contemporary residential design, our focus extends beyond aesthetics to the overall living experience. From spatial planning and daylight optimisation to material selection, every detail is carefully considered around the practical needs of the residents. The result is a home that balances functionality, comfort, and enduring design quality.

Moving forward, we will continue sharing more CDC and DA project case studies, offering insights into the thinking and design processes behind a variety of residential projects.

The new website presents our projects with greater clarity and structure.

Projects are now organised across different typologies and scales, including residential, commercial, and interior architecture, making the work easier to navigate and understand.

We are truly honored to have been selected for the shortlist of the Kharkiv Housing Challenge competition and to be the only firm from Australia nominated. This achievement not only validates the efforts of our design team, but also recognizes our commitment to responsibility and innovation in the field of architecture.

We would like to extend our special thanks to the organizers of this competition—the Norman Foster Foundation and Arup. The influence of Sir Norman Foster in the global architectural community, as well as Arup’s expertise in sustainable design and structural innovation, have set an exceptionally high standard for this competition. Their leadership has inspired us to think critically about how to address the complex challenges of rebuilding. It is a profound privilege to be part of a project that carries such a global vision and social responsibility.

This competition has not only been a design challenge but also an opportunity to contribute to the reconstruction of Kharkiv, a city deeply affected by conflict. Our design approach focuses on safety, sustainability, and community revitalization, with the goal of bringing new hope and vitality to the city through modular systems. We are hopeful that by working closely with local communities, we can help create a more resilient, greener, and vibrant future for Kharkiv.

Kharkiv, situated on the border between Ukraine and Russia, is the second-largest city in Ukraine and has been profoundly impacted by the ongoing conflict. This historically significant industrial city now confronts the urgent challenge of reconstructing damaged urban infrastructure, particularly in the realms of residential buildings and public spaces, with the dual objectives of repair and enhancement of living conditions for its residents.

In response to the initiative led by the Kharkiv City Council, the Norman Foster Foundation, and the Arup Group, BJ Architects team has developed a modular system aimed at transforming existing concrete panel housing and improving public spaces. This system includes modular building components, bomb shelters, and the integration of diverse uses at the ground level as integral components of the intervention. Furthermore, the system is designed to provide solutions for the reconstruction of severely damaged buildings, ensuring they embody a refreshed yet distinctly local architectural identity.
